Photography policy

CLAN/New Wine Scotland reserves the right to photograph or film volunteers or delegates within public areas at CLAN conferences and events. Only official CLAN photographers will be authorised, and are recognisable by a CLAN Photographer badge.

No photography will be taken during ministry times.

For children’s venues at our Summer Conference (Gems up to CLAN Kidz) there is a section on the children’s registration form where parents can indicate whether or not their children can be photographed/filmed. The photographer will liaise with the team leader to schedule an exact time and date for photography within each venue, so that children can be moved to the dedicated area at the appropriate time. Consent will be gained from parents for photographing/filming children outside of children’s venues.

All photographs taken for CLAN are the property of CLAN/New Wine Scotland and may be used for illustrative purposes, such as for the website or brochures, for educational purposes, such as providing a visual explanation of the different activities that run during the conferences or as a resource for future marketing and promotion of CLAN events.

It is the responsibility of CLAN/New Wine Scotland to make sure that all staff, delegates and volunteers are aware that there may be photography and filming in the public spaces provided. This should be made clear through public notices, signs and/or visual projection.

Personal data

All personal data is collected and stored securely in line with the Data Protection Act 1998.

On registration, you signify your consent to us collecting and using your information. Should we elect to change our policy, we will notify you of those changes here.

Under 18s

CLAN/New Wine Scotland allows under 18s to register their details for events and for the purpose of team applications. This information will not be used by anyone other than CLAN employees and Summer Conference Team Leaders. CLAN/New Wine Scotland will hold details from the CLAN Gathering Children’s Registration forms until the end of that year. All records, both electronic and hard copies are then securely destroyed.

Data sharing

Access to your information is limited to CLAN employees. CLAN/New Wine Scotland will only access your personal information to provide you with technical support, for event booking administration, and to deliver services that you have registered for, such as subscription to the CLAN mailing list.

CLAN/New Wine Scotland will not disclose your personal details outside of our organisation unless obliged by law.

In the case of Team Applications for the Summer Conference, your Team Leader will be able to view personal details relating to your application.
